How to receive WhatsApp orders using a customer approval link

Updated 27 October 2026

When orders arrive in WhatsApp chats, details get lost between messages. With Business Hub you create the order once and share a single link in the chat. The customer confirms the items, accepts your terms and enters their address and payment choice. This works the same in Facebook Messenger and Instagram DMs, because you are simply sharing a link.

What you need

  • A Business Hub account on a plan that includes orders.
  • The items, quantities and prices the customer asked for.
  • Your order terms, for example delivery time and return policy.

Step-by-step

  1. Open Orders and create a new orderGive the order a title the customer will recognise, such as "2 leather bags - brown", and choose the currency.
  2. Add the itemsEnter each item with its quantity and price. The order total updates as you type.
  3. Add your termsWrite the delivery, payment and return terms the customer has to accept before the order is confirmed.
  4. Copy the order link and paste it in the chatSend it in the same WhatsApp conversation, with a short message such as "Please confirm your order and delivery details here".
  5. The customer confirmsThe link is protected with a one-time code sent to the customer. On their phone they enter the code, review the items, accept the order and terms, sign with their name, and confirm their contact, delivery and payment preference. A payment preference does not itself collect a payment.
  6. Invoice and get paidThe order now shows as submitted with all the details. Generate the invoice in one click: it is emailed to the customer with a Pay now button, and you can also send it on WhatsApp if your plan includes WhatsApp delivery. The customer pays into the accounts you added in Get Paid.

Tips

  • Use the same wording as the chat in the order title so the customer is sure it is their order.
  • Check the payment method on the submitted order before you dispatch, especially for cash on delivery.
  • Publish an online catalog as well, so new customers can start an order themselves with Order Now.
