How to design a branded invoice template
A branded invoice looks professional, is easier for clients to recognise and gets paid faster. The Business Hub template builder lets you design one on a drag-and-drop canvas, and you can preview the rendered PDF with actual invoice data before sending it.
What you need
- A Business Hub account on a plan that includes custom invoice templates.
- Your logo uploaded in Settings → Business Profile, plus your address, tax number and bank details.
- Your brand colours and the font style you use.
Step-by-step
- Open Invoice TemplatesCreate a new template, or duplicate one of the ready-made Professional, Modern or Classic templates to start from a finished layout.
- Place your logo and business detailsDrag the logo, business name and business address elements to the top of the page. Elements snap to guides, and zoom helps with precise placement.
- Add the invoice and customer fieldsAdd the invoice title, invoice number, issue date, due date and reference number, then the customer name, address, email and phone.
- Set up the item tableAdd the items table and choose its columns: item, quantity, unit price, discount, tax rate, tax and amount. Reorder them to suit your invoices.
- Add totals, payment details and footerPlace subtotal, discount, tax and total, then payment information, plus notes, terms and a footer. When you have accounts in Get Paid, unpaid invoices also show a Pay online button and link automatically.
- Style it to match your brandSet fonts, sizes, weights, colours, backgrounds and borders for each element. Use undo and redo freely while you experiment.
- Save and use itSave the template and pick it on your next invoice, or set it as the default template for a data source or Invoice Flow.
Tips
- Keep the total and due date easy to spot: they are what clients look for first.
- Show only the item table columns your invoices really use; fewer columns read better on a phone.
- Duplicate your template for a variation, such as one without tax columns, instead of editing the original.
